Career Consultant FAQs

Answers for the people leading the career conversation.

Understand how Future Agents enter the system, what YDS manages, what the Career Consultant owns, and how referrals and outcomes are handled.

The main idea

YDS handles the repetitive work around the conversation. The Career Consultant builds the relationship, completes the consultation, and chooses how the relationship moves forward.

What is a YouDriveTheSuccess Career Consultant?

A YouDriveTheSuccess Career Consultant is an existing Keller Williams associate who believes KW is the best place to build a real estate career and wants to help grow the company.

YouDriveTheSuccess manages the systems, follow-up, tracking, preparation, and scheduling behind the recruiting process. This allows the Career Consultant to focus on what matters most: building the relationship, sharing the Keller Williams opportunity, and helping each Future Agent connect with the right Market Center.

What is a KW Career Link?

A KW Career Link is your unique recruiting link that captures a Future Agent's information, connects them to your account, and allows YDS to track their progress through the recruiting process.

How do Future Agents enter my YDS pipeline?

Future Agents may enter through your consultant-specific KW Career Link, a recruiting campaign, YDS SmartFlow, or another approved YDS intake process. Each person is placed into the appropriate stage and tracked through the system.

What does YDS handle before the Career Consultation?

YDS attracts, educates, nurtures, tracks, prepares, reminds, and schedules Future Agents for their Career Consultation. This eliminates the repetitive follow-up normally required from the Career Consultant. We handle the process so you can focus on the relationship and the conversation.

What is the Career Consultant responsible for?

The Career Consultant is responsible for building the personal relationship, showing up for scheduled Career Consultations, providing accurate notes, selecting the correct Referral Type, completing required updates, and reporting the final outcome when the consultant chooses to manage the local relationship through Self-Referral.

How does scheduling work?

All Career Consultations are scheduled through the built-in YDS calendar. The YDS calendar syncs with Google Calendar, Apple Calendar, or Outlook so Future Agents can book from the availability you approve while your personal calendar stays current.

What happens after a completed Career Consultation?

After the Career Consultation, the Career Consultant chooses one of two paths:

  • Self-Referral: Keep the service free by handling the local Market Center outreach and follow-up yourself. You remain responsible for all required updates and the final outcome.
  • YDS Referral Management: For $69 per Future Agent, YDS coordinates the local Market Center connection and manages follow-up through the decision process.
What is YDS Referral Management?

YDS Referral Management is an optional coordination service that helps connect the Future Agent with a local Market Center and manages follow-up through the decision process. The fee is $69 per Future Agent. It is a coordination fee. It does not guarantee affiliation, that the Career Consultant will be selected as the sponsoring associate, or that the Future Agent will join Keller Williams.

Does YDS become the sponsor when it manages the referral?

No. YDS never takes sponsorship. The Future Agent makes the final selection of their sponsoring associate. The Market Center records and processes that selection under Keller Williams policies. YDS documents and supports the process but does not guarantee that any particular associate will be selected.

What is YDS SmartFlow?

YDS SmartFlow is an organized round-robin distribution system for participating Career Consultants. It distributes eligible Future Agents based on participation, availability, program standards, and current status.

What Market Center information can Career Consultants see?

Authorized Career Consultants can access confidential Market Center information needed to guide referrals, including distance, agent count, profit share information, and Sponsorship Support Status. This information is provided for authorized recruiting use only and may not be copied, shared, or distributed.

What is Sponsorship Support Status?

Sponsorship Support Status is an internal YDS guidance indicator that reflects our documented experience working with each Market Center. It is based on real interactions, including communication, responsiveness, support of referring associates, and how Binding Sponsorship Agreements have been handled.

Career Consultants invest time, effort, and their own advertising money into every referral, and this status helps them make an informed decision before sending a Future Agent to a Market Center. A Market Center’s status is not permanent and can change as documented experience changes.

What happens when a Future Agent already knows a KW associate?

When a Future Agent tells YDS that they already have a relationship with a Keller Williams associate, YDS documents and protects that relationship, removes the Future Agent from the Career Consultant’s active pipeline, and helps connect them with the appropriate local Market Center. The goal is to avoid creating a competing relationship or sponsorship conflict.

Why are status updates and final outcomes required?

YDS is provided without a platform fee on the condition that Career Consultants keep referral types, decisions, and final outcomes current. Accurate data ensures every Future Agent is in the correct stage and receives the right communication and support.

YDS provides multiple reminders and opportunities to complete required updates. Repeated failure to keep records current may result in account access being paused or suspended until the required updates are completed.

What happens if a Career Consultant refuses to update the system?

Repeated refusal to complete required updates can result in loss of access to assigned leads, reports, calendar scheduling, and the Consultant Portal. Access may be restored after the required updates are completed and the Career Consultant returns to compliance.

This applies to every Career Consultant, including a Market Center Career Consultant working through a Market Center account. The goal is to keep every Future Agent record accurate and ensure the relationship remains a win-win.

Market Center FAQs

Answers for Market Center leadership and recruiting teams.

Understand how referrals reach your office, what the Market Center account provides, how scheduling works, and how sponsorship, decisions, compliance, and onboarding are handled.

The main idea

YDS gives your Market Center visibility and recruiting support. Your leadership team keeps control of the local conversation, affiliation decision, and onboarding while documenting the Future Agent’s final sponsorship selection.

What is a YDS Market Center account?

A YDS Market Center account gives authorized leadership one place to see YDS-connected Future Agents, review available referral information, coordinate local interviews, record decisions, identify sponsorship relationships, and track final outcomes.

How can a Market Center use YDS?

A Market Center can use YDS in two primary ways:

  • Support referrals already coming from YDS Career Consultants
  • Build a Market Center recruiting pipeline using its own approved Career Consultant structure and campaigns
Does our Market Center have to run its own recruiting ads?

No. YDS handles the recruiting advertising for your Market Center and takes that responsibility off your plate. Our team manages the job-board campaign, oversees the advertising budget, and programmatically distributes the budget throughout the month to create more consistent visibility and a more even flow of Future Agents.

The Market Center should not run competing job-board ads for the same opportunity, but it may still promote its KW Career Link through its website, email signatures, social media, and other non-job-board channels.

What Future Agents can the Market Center see?

The Market Center sees Future Agents connected to that office through YDS. The account is not intended to display every person in the full YDS database or records belonging to unrelated Market Centers.

What information is available to Market Center leadership?

Depending on the record and user permissions, leadership may see contact information, licensing or preparation status, referral details, Career Consultation information, the referring Career Consultant, sponsorship information, scheduled interviews, decisions, and final outcomes.

Does YDS replace the Team Leader or Market Center recruiter?

No. YDS supports the recruiting system around the conversation. Market Center leadership still owns the local relationship, interview, culture conversation, expectations, affiliation decision, documentation and processing of the Future Agent’s sponsor selection, and onboarding process.

How are local interviews scheduled?

Market Centers have two scheduling options. Your team can continue scheduling local interviews through its normal process, or you can connect an approved Google, Apple, or Outlook calendar to the built-in YDS calendar. When the YDS calendar is connected, Future Agents can choose from the interview times you make available.

Who makes the final sponsorship selection?

The Future Agent makes the final selection of their sponsoring associate. The Market Center records and processes that selection under Keller Williams policies. YDS documents and supports the process but never takes sponsorship or guarantees that any particular associate will be selected.

Can a Market Center create its own internal recruiting system with YDS?

Yes. A Market Center can establish an approved Career Consultant structure, generate opportunities, assign participating leaders, complete Career Consultations, manage scheduling, and keep recruiting activity organized through the final outcome.

Who inside the Market Center can access the account?

Access should be limited to approved leaders and users who need the information to manage recruiting activity. Role-based permissions help protect confidential candidate, consultant, Market Center, sponsorship, and business information.

Why does YDS need updates after the local conversation?

Updates keep the Future Agent, Career Consultant, Market Center, reporting, and sponsorship records accurate. They also ensure each person receives the correct follow-up. The designated Career Consultant or approved Market Center user must record the interview decision and final outcome so the process does not remain incomplete.

What does a Market Center account cost?

There is no platform fee for a Market Center account. Recruiting advertising budgets, YDS Referral Management, and other optional paid services are separate. A Market Center is not charged simply for having an account.

Who is responsible for updates when a Market Center uses a Career Consultant?

The Market Center Career Consultant managing the relationship is responsible for required notes, Referral Type updates, interview results, and final outcomes. A Market Center Career Consultant is subject to the same participation and record-keeping requirements as any other Career Consultant.

What happens if a Market Center Career Consultant refuses to update the system?

A Market Center Career Consultant is subject to the same participation and record-keeping requirements as any other Career Consultant. YDS provides multiple reminders and opportunities to complete required updates.

Repeated refusal to update the system can result in loss of access to assigned leads, reports, calendar scheduling, and the portal until the required updates are completed and compliance is restored. The goal is to maintain accurate records and a relationship that remains a win-win for everyone involved.

Real Estate Team FAQs

Answers for teams building a more organized recruiting pipeline.

Learn how team-specific campaigns work, what can be customized, what YDS manages, and how your leaders keep control of the relationship and decision.

The main idea

Your team controls the opportunity, message, market, relationship, interview, and decision. YDS manages the repetitive work surrounding the process.

How does a real estate team get started with YDS?

Start by registering as a YDS Career Consultant. Once the account is set up, the recruiting campaign can be built around your team, market, opportunity, message, and ideal candidate.

Is there a separate Real Estate Team Portal?

No. Real Estate Teams use the YDS Career Consultant tools and recruiting system. The team-specific difference is the customized advertising campaign and opportunity positioning.

What can our team customize?

Teams can help define the opportunity, ideal candidate, recruiting message, team culture, expectations, geographic market, advertising budget, and the type of people the campaign is intended to attract.

Is our campaign shared with another real estate team?

The campaign is built around your team and your opportunity. It is not presented as a generic team campaign. Campaign structure, placement, and market coordination may still depend on advertising availability and the approved YDS process.

What types of candidates can a team campaign attract?

A team campaign may attract people exploring real estate, students completing licensing, newly licensed agents, or experienced agents. The campaign should be written and targeted around the specific opportunity the team wants to promote.

What does YDS handle for the team?

YDS manages campaign setup, initial candidate response, education, nurturing, progress tracking, preparation, reminders, scheduling coordination, and visibility throughout the recruiting process. We handle the repetitive work so team leadership can focus on the relationship, interview, and decision.

What does the real estate team handle?

The team handles its story, opportunity, personal recruiting conversation, culture, expectations, compensation structure, team interview, final decision, and onboarding.

Does the team keep control of the candidate relationship?

Yes. The team is not handing off the relationship. YDS manages the repetitive work that keeps candidates informed, engaged, organized, and moving toward the right conversation with team leadership.

Who pays for the recruiting advertising?

The team selects and funds the advertising budget for its campaign. Team recruiting campaigns require a minimum advertising budget of $100 per market, per month. YDS helps coordinate the campaign based on the market, opportunity, recruiting goals, and available advertising options.

Can our team recruit in more than one market?

Campaigns may be expanded into additional cities, territories, opportunities, or roles based on the team’s goals, budget, market availability, and YDS campaign coordination.

Does YDS guarantee a certain number of leads or team members?

No. Advertising performance depends on the market, budget, campaign, competition, candidate interest, and follow-through. YDS cannot guarantee lead volume, interviews, affiliations, hires, production, or business results.

Who makes the final decision about joining the team?

The team and the candidate make the final decision. YDS organizes and supports the process, but team leadership determines fit, expectations, compensation structure, and whether the relationship should move forward.

Future Agent FAQs

Answers for people exploring or building a career in real estate.

Learn why YDS is involved, how we support your education and preparation, what happens during a Career Consultation, and how Keller Williams sponsorship works.

The main idea

YDS helps you understand the career, stay organized through licensing, prepare for the right conversations, protect any existing Keller Williams relationships, and connect with the right next step.

What is YouDriveTheSuccess?

YouDriveTheSuccess, also called YDS, is a recruiting support and career-guidance platform. We help people explore real estate, move through licensing, prepare for meaningful career conversations, and connect with Keller Williams.

Why is YouDriveTheSuccess involved in my career journey?

Starting a real estate career can involve a lot of questions, decisions, deadlines, and follow-up. YDS helps streamline that process by giving you education, reminders, progress support, career guidance, and a clearer path to the right Keller Williams conversation when you are ready.

Our goal is not simply to move you to an interview. It is to help you better understand the opportunity, decide whether real estate and Keller Williams may be right for you, and make your next conversation more productive.

Do I need to be licensed before I can work with YDS?

No. YDS works with people at several stages, including those who are only exploring real estate, currently enrolled in licensing education, newly licensed, or already experienced in the business.

Is YDS a real estate brokerage or an employer?

No. YDS does not replace the local brokerage or Market Center. We help prepare and connect you. The local Keller Williams Market Center handles its own conversations, decisions, expectations, affiliation process, and onboarding.

Does YDS charge Future Agents a fee?

YDS does not charge Future Agents for recruiting guidance and support. Real estate education, testing, licensing, fingerprinting, state fees, and other outside costs are separate.

Can YDS help me choose a real estate licensing course?

Yes. YDS can provide information about real estate education and may offer access to exclusive savings through The CE Shop. Course requirements and approved education vary by state.

How does YDS help while I am completing my courses?

YDS provides education, reminders, progress checks, accountability, and next-step guidance so you are not left trying to figure out the licensing and recruiting process on your own.

What is the KPA Personality Assessment?

The KPA is included as part of the YDS preparation process at approximately 75% course completion. It helps identify natural strengths, behavioral tendencies, and potential alignment with different aspects of a career in real estate.

Why does YDS ask whether I already know someone at Keller Williams?

We ask because existing Keller Williams relationships should be identified and protected from the beginning. If an associate has already introduced you to the company or is actively helping you, tell us right away so we can document that relationship and avoid using additional people, time, and resources to recreate a connection you already have.

YDS does not want to step into an established relationship or take credit away from the person who genuinely helped bring you to Keller Williams.

What is the benefit of completing a Career Consultation?

A Career Consultation gives you the opportunity to speak with an experienced Keller Williams associate who understands the systems of Keller Williams and how significant this career decision can feel.

Your Career Consultant is there to answer your questions, support you, and help guide you toward the Keller Williams Market Center that may be the best fit based on culture, profitability, leadership, opportunity, and distance.

What is Keller Williams sponsorship?

Every agent who joins Keller Williams names the Keller Williams associate most responsible for helping them join the company. That person becomes the sponsoring associate.

Through the Keller Williams Profit Share program, the sponsor may have the opportunity to share in company profitability based on the new agent's contribution to the profitability of their local Market Center.

Who should be identified as my Keller Williams sponsor?

If you already have a relationship with a Keller Williams associate who introduced or guided you, that relationship should be identified before your Career Consultation.

If you do not have a prior Keller Williams relationship, you still make the final selection of your sponsoring associate. Your Career Consultant may be selected when you believe they were the Keller Williams associate most responsible for helping you join, but that selection is never automatic or guaranteed.

Will YDS guarantee that I am accepted by Keller Williams?

No. YDS helps prepare and connect you, but each Market Center makes its own decisions. A conversation, referral, or interview does not guarantee affiliation, sponsorship, employment, income, or business results.

Can I choose which Keller Williams Market Center I speak with?

Yes. Location, convenience, culture, leadership, opportunity, and fit can all matter. YDS may help identify nearby Market Centers, but the final decision about where to have a conversation remains yours.
